Every business has data it can’t afford to lose: accounting files, client records, email, drawings and years of documents. Hardware fails, people delete things by accident, and ransomware deliberately targets backups. The question isn’t whether something will go wrong, but whether you can recover when it does.

Aspyn Information Services designs, monitors and tests backups for businesses in Nanaimo and across Vancouver Island, so that when something goes wrong, getting back to work is measured in hours, not weeks.

The Rule of Three

We build every backup plan around the rule of three, also known as the 3-2-1 rule:

The rule of three (3-2-1 backup): 3 copies of your data, 2 different storage types such as a NAS and the cloud, and 1 copy kept offsite or offline out of ransomware's reach, plus regular restore testing

  • 3 copies of your important data: the live copy plus two backups
  • 2 different types of storage, such as a local NAS and a cloud service, so one failure can’t take out everything
  • 1 copy offsite or offline, so a fire, theft or ransomware attack at the office can’t reach it

And most importantly, we test restores. A backup that has never been restored is only a hope.

Backup Services We Provide

  • Server and workstation backup
Image-based backups of servers and key computers with tools like Veeam, so entire systems can be restored, not just files.
  • Ransomware-resistant storage
TrueNAS and ZFS storage with snapshots that can’t be changed by ransomware, plus offline and offsite copies.
  • Cloud backup
Offsite copies of your data in secure cloud storage.
  • Microsoft 365 and Google Workspace backup
Your cloud email and files need backing up too. Microsoft 365 and Google Workspace are not a full backup on their own.
  • Daily monitoring
Backups are checked every day as part of our Managed IT Services, so failures are fixed before you need the data.
  • Replication and failover
For critical systems, a replica on a second server can take over quickly if the main one fails.

Disaster Recovery Planning

Backups protect your data. A disaster recovery plan protects your business. Together we’ll decide:

  • Which systems matter most, and how quickly each one needs to be back
  • How much data you can afford to lose (an hour, a day, a week)
  • Who to call and what to do first when something goes wrong
  • How to keep working while systems are restored

The result is a simple, written plan your team can follow under pressure, and a backup design that matches it. Backups are also a key part of protecting your business against ransomware. Learn more about our cybersecurity services.

Frequently Asked Questions

Isn’t my data already backed up in the cloud?

Not necessarily. Services like OneDrive, Google Drive and Dropbox sync your files, so a deleted or encrypted file can be deleted or encrypted everywhere. A true backup keeps separate, older copies you can go back to.

How do I know my backups actually work?

We test them. Restore tests are part of how we manage backups, so you know your data can be recovered before you need it.

We have an old server under a desk. Is it backed up?

Often it isn’t, or not properly. We can back it up, and even virtualize it so it’s easier to protect and restore.
