Cybercriminals don’t only go after big corporations. Small and medium businesses are often easier targets: fewer staff, older equipment, and nobody whose full-time job is security. A single compromised email account or encrypted server can stop a business for days.

The good news is that most attacks can be stopped with well-chosen basics, done consistently. Aspyn Information Services helps businesses across Nanaimo and Vancouver Island put those basics in place, keep them working, and add stronger protection where it matters most, without enterprise-sized budgets.

Why Cybersecurity Matters More Than Ever in the AI Era

Artificial intelligence has made attacks cheaper, faster and more convincing. Canada’s national cyber security agency puts it plainly: “AI is rapidly reshaping the cyber threat landscape.” Here’s what that looks like for a small business:

  • Phishing that looks real
The spelling mistakes are gone. AI writes polished, personalized emails using details from your website, LinkedIn and social media.
  • Voice and video deepfakes
A call that sounds like the owner asking accounting to “urgently” change banking details or send a payment.
  • Weaknesses found faster
Automated tools scan the internet for unpatched firewalls, open remote desktop connections and outdated software, then exploit them quickly.
  • Lower skill needed to attack
AI helps less experienced criminals run attacks that once needed real expertise, so there are simply more attackers.
  • New risks from inside
Staff pasting client or financial information into free AI tools can expose sensitive data without anyone noticing.

Ransomware remains the biggest cybercrime threat in Canada. And small businesses are often targeted as a stepping stone to the larger customers and suppliers they work with.

Preparation Is Your Best Defence

Security doesn’t start with expensive products. It starts with preparation. The Canadian Centre for Cyber Security’s baseline controls for small and medium organizations are designed to deliver “80% of the benefit from 20% of the effort.” That’s the approach we take: get the high-impact basics right first, then build from there.

Layers of cybersecurity protection for a small business: people and awareness training, firewall and secure remote access, threat monitoring, patching and updates, MFA and access control, and tested offline backups protecting your business data

Best Practices That Don’t Need a Big Budget

  • Turn on multi-factor authentication (MFA) everywhere
Email, Microsoft 365, banking, and any remote access. MFA blocks the large majority of account takeovers, and it’s usually included in licences you already pay for.
  • Patch quickly and automatically
Keep Windows, applications, firewalls and storage devices up to date. Replace systems that no longer get security updates, such as Windows 10, which reached end of support in October 2025.
  • Keep backups that ransomware can’t reach
Follow the rule of three, keep at least one copy offline or immutable, and test your restores. A backup you’ve never restored is only a hope.
  • Limit admin rights
Staff shouldn’t use administrator accounts day to day, and former employees’ access should be removed the day they leave.
  • Train your people
Short, regular awareness training and one simple rule: any request to change payment details is confirmed by phone, using a number you already have.
  • Write a one-page incident plan
Who to call, what to disconnect, and how to restore. Deciding this before an incident saves hours when it counts.
  • Set an AI use policy
Spell out which AI tools staff may use and what information must never be pasted into them.

Firewall Management: Your First Line of Defence

Many small businesses still rely on the internet provider’s router, or a firewall that was set up once and never touched again. A properly managed business firewall is one of the most cost-effective security investments you can make.

Aspyn installs and manages business-grade firewalls and networks, including Cisco Meraki and TP-Link Omada, and keeps them working for you:

  • Firmware and security updates applied on schedule
  • Unused ports closed and remote desktop never exposed to the internet
  • Secure VPN with MFA for staff working remotely
  • Guest Wi-Fi, cameras and smart devices kept separate from business systems
  • Geo-blocking and threat filtering to cut out unnecessary traffic
  • Regular reviews of firewall rules so old exceptions don’t become open doors

Cybersecurity is a cycle: 1 Prepare with best practices, MFA, patching and an incident plan; 2 Test with vulnerability scans and penetration testing; 3 Monitor with continuous log and threat alerting; 4 Audit to review controls, close gaps and plan next steps

Penetration Testing and Vulnerability Scanning

The best way to find your weak spots is to look for them the way an attacker would, before an attacker does. We scale testing to the size of your business:

  • External vulnerability scans of everything exposed to the internet: firewall, VPN, email and website
  • Internal scans to find unpatched computers, servers and network devices
  • Targeted penetration testing of your most important systems to confirm what an attacker could actually reach
  • Phishing simulations to see how staff respond, followed by training where it’s needed

You get a plain-language report that ranks findings by risk, with a clear plan to fix them. No 200-page document nobody reads.

Threat Monitoring: Catch Problems Early

Attackers often sit inside a network for days or weeks before they strike. Monitoring is how you spot them first.

Aspyn uses Wazuh, an open-source security platform that gives small businesses enterprise-grade monitoring without enterprise licensing costs. We combine it with the security tools already built into Microsoft 365 and Windows to:

  • Collect logs from servers, computers and network devices in one place
  • Alert on suspicious sign-ins, malware, unexpected changes and brute-force attempts
  • Flag known vulnerabilities in installed software
  • Watch your backups and critical systems so failures don’t go unnoticed

Alerts come to our team, so problems are investigated and dealt with, not left in an inbox.

Security Audits and Assessments

An audit gives you an honest picture of where you stand and what to fix first. Our security assessment reviews:

  • MFA coverage and user accounts, including admin and former-staff access
  • Patch levels and unsupported systems
  • Backup coverage, including an actual restore test
  • Firewall configuration and remote access
  • Microsoft 365 or Google Workspace security settings
  • Your obligations to protect personal information under BC’s PIPA and Canada’s PIPEDA

You receive a prioritized roadmap: free and low-cost quick wins first, then planned investments spread out to suit your budget. Security is a cycle, so we revisit it regularly as your business and the threats change.

Frequently Asked Questions

Is my business too small to be targeted?

No. Most attacks are automated and opportunistic. They look for any weak spot, regardless of company size. Smaller businesses are often hit precisely because they’re less protected.

What does good cybersecurity cost?

Less than most people expect. Many of the most effective steps, like MFA, patching, admin-rights cleanup and staff training, cost little beyond time. We’ll show you where your money has the most impact.

Where should we start?

With an assessment. Knowing your current gaps lets you fix the biggest risks first instead of guessing.
